Price: Otter Pro £13/mo, Fathom free tier + Pro £24/mo, Fireflies £15/mo

Meeting transcription and summarisation. Sits in Zoom, Teams, Google Meet and delivers a full transcript + action items after every call. Not sexy, but a genuine hour-per-day return once you stop taking notes manually.

Pair with Claude — paste the transcript in, ask for the client email / follow-up doc / minute drafted in your firm’s voice. Combined workflow is the single biggest admin win most teams see.

Best for

Anyone with more than 5 hours of meetings per week. Consultants, sales teams, founders, agencies.

Verdict

Second essential subscription. Doesn’t matter much which one — pick the cheapest that integrates with your calendar.

ChatGPT Plus

Price: £16.42/mo (Plus). Team £19.75/user/mo.

Directly comparable to Claude Pro on price. Strong on quick research, code generation, image generation (via DALL·E), and voice mode. Weaker than Claude on long-document work, business writing tone, and precise instruction-following.

Not wrong to run both if you have specialist use cases — but for most UK SMEs, picking one and going deep on it beats paying for both and using each shallowly.

Best for

Teams doing research-heavy work, marketing content, or that want strong image generation without a separate tool.

Verdict

Solid choice; not our first pick for document-heavy business use, but a fine second.

Microsoft 365 Copilot

Price: £24.70/mo per user (added to a Microsoft 365 Business Standard licence at £10.30)

The one to consider if your team is already deep in the Microsoft stack (Outlook, Teams, Word, Excel). Copilot lives inside those apps and does inline drafting, summarisation, and Excel formula work without copy-pasting.

Two catches: (1) the £24.70 is on top of your existing Microsoft licence, so real cost per user is £35+/mo; (2) it needs Microsoft 365 Business Standard or higher — not the Basic tier. Value depends heavily on how much your team lives inside Outlook and Word.

Best for

Microsoft-centric teams (10+ people) where the friction of copy-pasting to Claude/ChatGPT is a real time cost.

Verdict

Excellent if you’re Microsoft-native; overkill and expensive otherwise.

Perplexity Pro

Price: £16/mo

Positions itself as "AI search" — ask a question, get an answer with cited sources. Genuinely useful for research, competitor analysis, and any task where you’d otherwise open 15 tabs.

Claude has web search built in now, and it’s decent, but Perplexity is still the specialist for pure research work. Worth it as a third subscription if research is 3+ hours a week of your job. Skip otherwise.

Best for

Researchers, journalists, analysts, competitive intelligence, market research. Founders doing category research.

Verdict

Specialist tool. Great at its specific job. Not essential for most SMEs.

Price: Zapier Starter £16/mo, Pro £40/mo. Make Core £7/mo.

Automation between the tools you already use — when a form is filled, add to Airtable and send Slack. Been around forever, still the standard.

Increasingly relevant now because AI tools are one of the most-integrated categories: use Zapier to pipe form responses through Claude for auto-classification, then into your CRM. That pattern alone justifies the subscription for many businesses.

Best for

Teams with 5+ SaaS tools that need to talk to each other. Anyone doing repeated multi-step admin.

Verdict

Not AI itself, but the glue that makes AI actually integrated into your operations.

Grammarly Premium

Price: £11.66-30/mo depending on tier

Real-time grammar and typo catching in your browser. Sits inside Gmail, Google Docs, Slack — shows red/blue underlines as you type. Does its narrow job better than anything else.

Claude does deeper editing better (rewriting, restructuring, tone), but doesn’t catch inline typos as you type. Grammarly Free covers most people; skip Premium unless you write serious volume.

Best for

High-volume writers — content marketers, journalists, founders who write a lot of long-form.

Verdict

Free tier is enough for most. Skip Premium unless you personally write 20+ hours a week.

For 90% of UK small businesses reading this: Claude Pro (£16/mo) + Otter or Fathom (£13-24/mo). That covers writing, analysis, meeting notes, research (Claude has web search), and repeatable comms. Under £40/mo per user, saves most teams 8-15 hours/week.

Add Copilot if you’re Microsoft-native. Add Perplexity if you do serious research. Add Zapier if you have 5+ tools to connect. Skip everything else until you feel a specific pain the stack above doesn’t solve.
