Short answer: Yes — Claude turns a meeting transcript (or raw notes) into properly structured minutes in under a minute. Standard UK format: attendees, apologies, decisions, action items with owners and due dates, open questions, next meeting. Works with transcripts from Otter/Fathom/Fireflies, or just paste your own typed notes.
Short version: Claude is one of the easiest wins for anyone who runs or attends regular meetings. Paste a transcript or your scrappy notes, get back minutes that look like they took an hour to write. The whole thing takes about two minutes.
This guide covers the three input sources, the prompt that works best, and three UK-standard formats.
Three ways to get the meeting into Claude
1. Transcript from meeting software (easiest)
If you use Otter, Fathom, Fireflies, Zoom AI Companion, Microsoft Teams, or Google Meet, each produces a transcript after every call. Copy the transcript into Claude.
2. Your own typed notes (next easiest)
Fine if you took reasonable notes during the meeting. Even scrappy bullet points work — Claude cleans up the structure.
3. A voice recording of your notes afterwards
Great for board meetings or client meetings where you couldn’t take notes. Record a 2-3 minute voice memo of what happened, transcribe (via your phone, Otter, or similar), paste into Claude.
The base prompt
Prompt: "Turn this into professional UK-format meeting minutes. Input: [paste transcript or notes]. Structure: 1) Meeting title and date, 2) Attendees and apologies, 3) Agenda items covered, 4) Decisions made (bulleted), 5) Action items (table with Action / Owner / Due Date), 6) Open questions / unresolved items, 7) Date and time of next meeting. British English. Factual tone — no editorialising. Flag anything in the input that's ambiguous and I'll clarify."
Three UK meeting-minute formats
Lightweight (team catch-ups, project meetings)
- Date, attendees, key decisions, action list (who, what, by when)
- 5-minute read, lives in Slack or Google Docs
Standard business (client meetings, management meetings)
- All of the above plus: context section, agenda-item-by-agenda-item coverage, any dissenting opinions noted
- 10-minute read, filed in the shared drive, PDF-friendly
Formal (board meetings, governance meetings)
- Full UK board-minute conventions: quorum confirmed, previous minutes approved, each item numbered, resolutions voted and recorded, conflicts of interest noted, matters arising, AOB, next meeting
- Legal weight for some purposes (Companies Act 2006 requires meeting minutes for certain decisions)
- Chair signs; secretary files
Tell Claude which format you want: "lightweight team catch-up format", "standard business minutes format", or "formal UK board meeting minutes format".
What Claude handles brilliantly
- Separating decisions from discussion — busy meetings mix the two; Claude cleanly extracts actual decisions
- Owner + due-date for every action — if these weren’t assigned in the meeting, Claude flags "owner not specified" so you can assign now
- Capturing dissent without taking sides — "the team was split on X: Alice argued for A, Bob argued for B, we agreed to defer to next meeting"
- Shortening without losing substance — a 60-minute meeting into 1 page of minutes
- Follow-up email — ask Claude to also draft the "here are today’s minutes and action items" email to attendees in one go
What to still do manually
- Fact-check names, dates, numbers. Transcripts and typed notes contain errors; Claude propagates them. Check anything that matters.
- Confirm decisions with the chair. If a decision in Claude’s minutes looks weightier than it felt in the meeting, double-check with the chair before publishing.
- For formal board minutes, the secretary still owns the output. Claude speeds the draft; the secretary signs for accuracy.
Pair with Google Workspace for the fastest workflow
If your meetings happen on Google Meet with transcription on:
- Meeting ends. Transcript appears in Google Docs automatically.
- Open that Doc, open the Claude sidebar (if you have the Google Workspace integration — see our full Google Workspace guide).
- Prompt Claude to convert the transcript into minutes in the same document.
- Review, send to attendees. Total elapsed time: ~3 minutes.
