The Challenge
Harrison & Cole is a specialist recruitment agency focusing on finance and accounting roles across the Midlands. With a small but dedicated team of six consultants, they'd built a strong reputation for personal service and quality placements.
But success brought challenges. As their client list grew, so did the administrative burden. Each job posting generated dozens - sometimes hundreds - of applications. Consultants found themselves spending more time on CV screening and email responses than on the high-value work that actually led to placements.
The numbers told the story:
- Average of 85 applications per role
- 15-20 minutes spent screening each CV
- 3+ hours daily on candidate communication emails
- Job descriptions taking 45+ minutes to write
"We were drowning in admin," explains the firm's Managing Director. "Our consultants were staying late just to keep up with emails. The work that made us successful - building relationships, understanding client needs, matching the right people to the right roles - was getting squeezed out."
The Solution
Harrison & Cole engaged Claudable for a Full Implementation package. The process began with a comprehensive workflow audit, identifying exactly where time was being lost and which tasks were suitable for automation.
Three key areas were identified for Claude Cowork implementation:
1. CV Screening & Shortlisting
- Claude Cowork now reviews incoming CVs against role requirements
- Generates shortlist with reasoning for each recommendation
- Flags potential concerns or questions for consultant review
- Time saved: ~12 hours per week
2. Candidate Communication
- Personalised response templates for different scenarios
- Interview scheduling confirmations with all relevant details
- Professional rejection emails that maintain relationships
- Time saved: ~7 hours per week
3. Job Description Creation
- Consistent, compelling job descriptions from brief notes
- SEO-optimised for job boards
- Adapted tone for different seniority levels
- Time saved: ~3 hours per week
Implementation Process
The implementation took three weeks from initial audit to full deployment. Claudable provided:
- Week 1: Workflow Audit - Deep analysis of existing processes, identification of automation opportunities, and creation of custom prompts tailored to Harrison & Cole's specific requirements and tone of voice.
- Week 2: Setup & Testing - Configuration of Claude Cowork workflows, integration with existing systems, and testing with real historical data to refine accuracy.
- Week 3: Training & Handover - Team training sessions ensuring every consultant could confidently use the new workflows, plus documentation and ongoing support setup.
"The training was brilliant. I'll be honest, I was nervous about AI - I'd never used anything like it. But within an hour I was using Claude Cowork like I'd been doing it for years. It really is just like talking to a helpful colleague."— Senior Recruitment Consultant
The Results
Six months after implementation, the impact on Harrison & Cole has been significant:
Time savings: The team now saves 22 hours per week on administrative tasks. That's equivalent to having an additional half-time team member - without the salary costs.
Financial impact: At an average consultant billing rate of £25/hour, the time savings translate to £28,600 in annual value. The Full Implementation package paid for itself within the first two months.
Business growth: With more time for relationship-building and client work, placements increased by 40% in the first six months. The team reports higher job satisfaction and better work-life balance.
"Claude Cowork handles the stuff that used to eat our days. CV screening used to be this dreaded task - now I get a shortlist with notes explaining why each candidate might be a good fit. I spend my time talking to people, not staring at spreadsheets."— Recruitment Consultant
The Prompts Harrison & Cole Actually Use
One question we’re asked constantly by other UK recruitment agencies looking at similar workflows: “What do the actual prompts look like?” With Harrison & Cole’s permission, three of their production prompts — anonymised, but structurally identical to what they use every day.
1. CV Screening Prompt (used at volume, sometimes 80+ CVs per role)
The trick with volume CV screening isn’t just extraction — it’s consistent scoring against explicit criteria. Harrison & Cole’s prompt scores each CV against the role brief, flags the top 5, and produces a short justification for each. The consultant then reads only the 5 flagged CVs in full rather than all 80.
2. Personalised Rejection Email Prompt
Rejection emails at scale is where most agencies fall down — either they send templated blast emails that damage the brand, or they don’t send them at all. Harrison & Cole’s prompt writes short, personalised, honest rejections that reference something specific from each CV. Consultants sign them off in 20 seconds each. Candidate feedback on the change has been overwhelmingly positive.
3. Job Description Rewrite Prompt
Client-provided JDs are often long, jargon-heavy, and structured for internal HR rather than for candidates. Harrison & Cole rewrites each one before posting — punchier, more honest about the role’s reality, and structured to actually be read. This prompt does the first pass.
What made these prompts stick
Two things Harrison & Cole’s implementation got right that we don’t always see:
- Every prompt has an explicit output structure. Not just “write a rejection email” but “6 sentences, reference something specific, end with an invitation.” Structure = consistency = trustworthy output at scale.
- Every prompt has a “don’t” clause. Explicitly telling Claude what NOT to do (“don’t fabricate”, “cut buzzwords”, “don’t be corporate”) turns out to matter more than telling it what TO do. It’s the anti-generic instruction.
These prompts didn’t appear on day one — they were refined over about 2 weeks of iteration. But once they were dialled in, the workflow became self-sustaining: any new consultant joining the team inherits the working prompts rather than needing to figure it out from scratch. That’s the compounding return on a good initial setup.
Key Learnings
Several factors contributed to the successful implementation:
- Human oversight remains essential. Claude Cowork handles the heavy lifting, but consultants always review recommendations and add their expertise. The AI makes suggestions; humans make decisions.
- Customisation matters. Generic AI prompts wouldn't work. The workflows were tailored specifically to Harrison & Cole's industry, clients, and communication style.
- Team buy-in is crucial. Early involvement of the team in the audit process meant everyone understood the benefits and felt ownership of the new workflows.
- Start with quick wins. Beginning with CV screening - the most time-consuming task - delivered immediate, visible results that built confidence for broader implementation.
Looking Forward
Harrison & Cole continues to find new applications for Claude Cowork. Recent additions include automated meeting note summaries and client briefing documents. The team estimates they'll achieve another 5-10 hours of weekly savings as they expand usage.
"We went from sceptical to evangelical," notes the Managing Director. "Claude Cowork isn't replacing our team - it's making them more effective. They can focus on what they're actually good at: understanding people and making great matches."
